Celebration of Women Fund Raiser Report

Celebration of Women: October 9, 2016, 2:00-4:00 pm; Newport Performing Arts Center Lobby

Supervising Board Member: Nancy Mead

Meeting on 3/1/16: 

Members Present: Sue Hardesty (chair); Ruthie MacLeod

Results:

  • Correction of forms to avoid last year’s problems
  • Responsibilities at end of Celebration: list items bid on but not picked up, assign people to take care of them, assign people to take items not sold
  • Monies/paperwork: Ruthie and Sue will collect for recording before giving money to treasurer
  • Entertainment: Three short presentations 20 minutes apart; possibilities – Mary Lee Scoville for singers/musicians; Cindy O’Connell for skits; membership to nominate women contributing to feminist activism in region with posters and bio at Celebration
  • Food: One tray of mixed sandwiches from J.C. Thrifty (Ruthie); brownies and truffles (Jane); purchase water and chips with monies from Safeway, Fred Meyers, and Cash & Carry

December:
 Book PAC
 Book Joe Stafford for wine
February –March:
 Start organizing the event for NOW board approval
 Request Donor Form from chain stores with out-of-town offices;
 Write donor information about Celebration to attach to Donor Forms.
 Print business cards as requested
 Prepare letter/forms/publicity for donors
April:
 Start list of responsibilities, volunteers, and supplies
 Ask Photographers for photos for cards to sell
 Get presently received photos printed into cards
 Ask artists for donations to silent auction
May – June – July:
 Include Central Oregon Coast NOW Foundation 501 (c) (3) in publicity
 Check on PAC to confirm event reservation
 Include Tax ID number in form
 Follow up on artists. photographers, and authors about attending/donations
 Finish greeting cards from photographers/artists
 Deliver Donor Forms to chain stores
August:
 Talk to local, non-profit women-oriented organizations about participating.
 Follow up with local businesses for donations; order/requested donated food
 Initial media publicity statement “Anyone interested in contributing an item, donation, or coupon to the COC NOW silent auction, please contact ¬¬Sue Hardesty at (541) 265-4516 or email at suehardesty@charter.net
 Assign tasks for Celebration
September:
 Confirm author, organizations, and other invited people/groups
 Do final publicity

  • February March: Start organizing the event for NOW board approval
  • Request Donor Form from chain stores with out-of-town offices;
  • write donor information about Celebration to attach to Donor Forms.
  • Print business cards as requested

March

  • Obtain permits
  • Organize Celebration for needed jobs and explanation for doing job, supplies needed
  • Ask Photographers for photos for cards to sell
  • Ask artists for donations to silent auction
  • Write Donor Forms
  • Produce letter for donors
  • Ask Akia Woods for two performances; add singer to entertainment
  • Organize NOW members list for mailings
  • Get NOW membership list for interested participants and start recruiting

May

  • Ask artists about attending/donations, authors about attending/donations,
  • Ask Photographers attending/donations, scientist attending.
  • Deliver Donor Forms to chain stores
  • Send emails with form to new and previous donors with information about time of next event. Give deadline when to email back form.
  • For businesses with no forms, mail information with self-stamped envelope.
  • Talk to local, non-profit women-oriented organizations about participating.

June –July

  • Confirm Ellen Rosenblum singing
  • Follow up with local businesses for donations not responding to email or mail requests
  • First announcements in paper including statement “Anyone interested in contributing an item, donation, or coupon to the COC NOW silent auction, please contact ­­Sue Hardesty at (541) 265-4516 or email at suehardesty@charter.net

August –

  • Mail invite to local businesses/individual
  • Assign tasks for Celebration
  • Second publicizing

September

  • Confirm author, organizations, and other invited people
  • Check on PAC
  • Check on finger food the day before Celebration
